THE RECORDS ROOM
Abstracts & Titles, Inc. and our predecessors have created more than 130,000 title examinations over the past 25 years.
Our title plant contains historical examinations for most of the parcels in Jefferson County, KY.
The title plant also includes a significant number of residential and commercial titles
for the surrounding counties in Kentucky and Southern Indiana.
This combination of residential and commercial examination files in our library became cumbersome to manage.
Over the years, the cost of storing, retrieving, reproducing and refiling these files became significant.
We needed a solution and we needed the solution to be expandable, secure and available
to our customers.
Using the service bureau model, we have constructed a solution that allows us to support our own organization and offer the same services to our customers.

OUR STRENGTH
Our team has more than 25 years experience in data warehousing, Fortune 100 Human Resource records management,
financial systems development and bank operations record management.
Additionally, our Human Resource and bank operations experiences included the complexities of merger and acquisition
consolidations. These efforts involved the detailed planning, consolidation and auditing of physical and electronic records.
Combining more than 20 years experience in the project planning, development and execution of business continuation plans,
disaster recovery plans and Y2K projects, we are confident we can meet all our customers legal and operational
records requirements.
Our document warehousing partner processes documents for government agencies,
financial institutions and medical facilities. Each document storage location and facility
is secured and certified to ISO, HIPPA, ABA, FDIC and DOJ standards.
Our software tools, facilities management procedures and records management processes include
ISO-standard warehouse racking, coding and labeling formats. Each rack holds nine, 1 cubic foot boxes
stacked 3 high and three deep.
Customers who build their own archives are provided bar code labels to place on their boxes.
The contents of the box and the box itself are assigned a rack storage location and a pickup time
via a work order generated by the customer. As each box arrives at the secured storage facility the bar code on the
box is scanned and then located on the assigned rack.
Customers may also elect to have our team scan, box and archive their records. A service level agreement, document auditing and
accounting standards and accuracy reviews are established at the time the contract is executed.
Storage rates are determined on a customer basis and consider space requirements, retrieval requirements,
equipment needs and ongoing packaging material requirements.
